Jefferson County Board Fiscal Committee discusses payment of claims procedures

Jefferson County Board Fiscal Committee met Thursday, May 19.

FISCAL COMMITTEE MEETING

MAY 19, 2016

7:00 P.M.

BOARD ROUM

COMMHTTEE MEMBERS PRESENT: BOB WATT, CHAIRMAN, JAMES MALONE, CLIFF LINDEMANN & JEFF Will IAMS

OTHERS PRESENT: TIM MARLOW, STEVEDRAEGE, DAN KNOX, CONNiESIMMONS & SUZY TATE

No one was present for public input.

Treasurer Dan Knox was present to discuss the county's finances. Please see attached documentation. Knox reported that Personal Property Replacement Taxes was miscalculated by the state to taxing bodies. All will have to payback eventually by withholding amounts over a period of time out of our distributions.

Discussion was held on the proper procedure for payment of claims. Motion by James Malone and seconded by Cliff Lindemann to recommend to the Full Board to approve the Resolution Delegating Authority to Determine Claims presented by State's Attorney Doug Hoffman. Motion by James Malone and seconded by Cliff Lindemann to withdraw the previous motion.

Motion by James Maione and seconded by Cliff Lindemann to recommend to the Full Board to send the resolution back to the State’s Attorney for clarification on whether or not the County Board Executive Assistant can be appointed as the duly appointed officer of the county responsible for fiscal management, Motion Carried. Roil Call Vote – 4 aye: Watt, Malone, Lindemann, Williams 0 nay

Claims were reviewed by the committee. Motion by James Malone and seconded by Cliff Lindemann to recommend to the Full Board to approve the monthly claims as adjusted if sufficient funds are present. Motion Carried. Vote – 4 aye, 0 nay

FISCAL COMMITTEE MEETING - MAY 19, 2016

Motion by Cliff Lindemann and seconded by Jeff Williams to recommend to the Full Board to approve the Payroll Distribution Report as presented. Motion Carried. Vote – 4 aye, 0 nay

Motion by James Malone and seconded by Cliff Lindemann to recommend to the Full Board to approve the Demand Claims Report as presented. Motion Carried. Vote - 4 aye, 0 nay

Reports were reviewed by the committee.

Executive Assistant Suzy Tate informed the committee that an item will be on the Full Board agenda to increase the credit limit of the credit card for the Sheriff’s Dept to $10,000.00.

Motion by Jeff Williams and seconded by Cliff Lindemann to adjourn. Motion Carried. Vote – 4 aye, 0 nay
